Payroll Tax Specialist

Member of the Payroll team who will be responsible for overseeing federal, state and local tax compliance, in addition to quarterly and annual tax files. This person will require standard payroll processing functional knowledge as well as knowledge of applicable Federal and State tax regulations. Monitor, manage and reconcile payroll taxes at the employer and employee level. This position will impact a rapidly growing organization.


Essential Functions/Job Specific:

Accounting Duties:   

  • Reconcile payroll tax reporting after each pay run to ensure accurate filings by tax service provider.
  • Manage filing of tax updates weekly.
  • Monitor quarterly tax filings.
  • Prepare headcount tax forms.
  • Reconcile cash activity to Payroll and ADP Tax Services reports.
  • Reconcile Payroll reports to 941s and W-2s.
  • Special projects and research.
  • Research and reconciliation of payroll taxes from prior periods.
  • Gather and report requested data to internal and external recipients.
  • Provide information and assistance related to payroll tax, both internally and externally
  • Oversee the payroll tax functions for multiple payroll entities
  • Responsible for all quarterly and annual tax filings and reconciliations between ADP Smart Compliance & Temp Works ATS/payroll system. As well as tax reconciliations in Paycom.
  • Communication with local and state agencies to apply for tax IDs and to close old accounts as necessary
  • Working knowledge of payroll best practices
  • Administer annual W2 processes and submissions timely
  • Strong accounting skills, detail oriented, proficient in excel
  • Must be able to create reconciliations that clearly communicate.
  • Experience reconciling and preparing W-2 forms.
  • Must be able to communicate effectively and in a constructive manner with management, peers and coworkers.
  • Excellent organizational, multi‐tasking, communication, and prioritizing skills
  • Proficient with email system; Microsoft Outlook preferred
  • Highly proficient using complete Microsoft Suite, especially Excel, and PC skills
  • Deadline driven; Attention to detail
  • Knowledgeable with federal and state regulations; Multi‐State payroll taxation
  • Working knowledge of payroll best practices
  • Strong work ethic and team player
  • Education: Associates degree preferred
  • Ability to problem solve and work independently
  • Strong knowledge of federal and state regulations as it pertains to employee withholdings

  • Ability to speak,read, and write in English at a level appropriate for the job and communicate effectively
  • Ability to speak, read, and write in Spanish and or other languages is a plus
  • Ability to be accurate, concise, and detail-oriented
  • Knowledge of Department of Labor Laws both Federal/State specific preferred
  • High School and Higher Education preferred
